Import data
Load your existing spreadsheets — one whole onboarding workbook or one data type at a time — with a dry-run validation pass before anything is written.
Import data brings your existing spreadsheets into the system. You always validate first — a dry run writes nothing — so you can fix problem rows before committing anything.
Fastest path: the onboarding workbook
- On Import data, choose ⬇ Onboarding workbook to download one Excel file with one sheet per data type and worked example rows. Send it to whoever holds the data.
- Fill in whichever sheets you have — leave the rest empty.
- Back on the page, upload the workbook under Import the whole workbook at once. Every filled sheet is validated in one pass (a dry run — nothing saved), with a per-sheet result showing valid rows and any errors.
- Choose Import all valid sheets to commit.
Site columns take your site names exactly as set up in the app (matched case-insensitively) — no ids or codes. Create your sites first, or via the setup wizard.
Import one data type at a time
- Pick What are you importing? from the dropdown. The panel lists the expected columns and which are required.
- Paste your CSV (first row = headers) into the box, or upload a .csv or .xlsx file.
- If your headers differ from ours, choose Map columns and line each of our columns up to yours — exact-match headers map automatically.
- Choose Validate (dry-run). You get total rows, valid rows, and a table of the exact row numbers with errors. Nothing is written yet.
- Fix flagged rows, re-validate if you like, then choose Import. The report confirms how many records were created.
What you can import
- Workforce / people — your roster (workforce)
- Contractors / vendors (contractors)
- Worker credentials — licences and certifications (credentials)
- Training courses — the course catalog (training)
- Incidents — your historical OSHA 300 log (incidents)
- Regulatory permits & licences (permit registry)
- Safety Data Sheets — chemical inventory (SDS)
- Fire extinguishers, gas cylinders, rigging & lifting equipment, and LOTO energy-control procedures (extinguishers, gas cylinders, rigging, LOTO)
Tip: always dry-run a big file first — it's the safe way to catch bad rows before they land in your data.
