Contractor safety

The Contractors module pre-qualifies the companies working on your sites and gates access on a complete, valid document set for the trade — insurance/COI, workers' comp, and the trade's licences and programs — plus per-worker credentials at the gate. For mines it also keeps the MSHA independent-contractor register (30 CFR 45.4, producible as Form 7000-52) with a CSV export under Part 45 register.

Register and qualify

1. Open Contractors and use the Register a contractor form at the bottom: primary site, company, trade, contact, and MSHA contractor ID if they have one.
2. Click Qualify on the new contractor.
3. Which documents a trade must hold is set under Policy — edit a trade to override the defaults, reset to return to them.

Record documents — scan the COI

1. Go to Documents and either fill the Add a document form or use the 📷 scan control: photograph or upload the certificate of insurance or licence and the AI pre-fills type, reference, issued and expiry dates (low-confidence fields are flagged for you to double-check).
2. A scanned file is stored with the record — the 📄 link in the table opens it later.
3. Expired rows show red, soon-to-expire amber.

Per-worker credentials and site access

• Credentials tracks each worker's site-entry qualifications (MSHA Part 46/48 training, orientation, medical) with expiry. The Access readiness panel shows, per contractor, whether each worker is cleared or blocked and what's missing.
• Which credentials a site demands is set under Requirements (a default plus per-site overrides, e.g. underground → Part 48). Workers are gated against these at site sign-in.
• On the main list, Grant access stays disabled while any required company document is missing (hover to see what's outstanding); Revoke pulls access at any time.
• Enforce compliance sweeps everyone at once and suspends contractors with missing or expired documents.

What happens automatically

• Company documents and worker credentials that are expired, or expire within 30 days, are escalated to the safety queue by the daily sweep — so the gate is never the first anyone hears of a lapsed COI. A lapse also blocks site access and permit activation.
• Document and credential expiries appear on the compliance calendar and its .ics feed.
• The Incidents (rec.) column is a live scorecard; a lapsed contractor offers Raise CAPA to track the fix (CAPA).
• Bring an existing vendor list in via spreadsheet import — target Contractors / vendors; the site column accepts site names.
