Training
Track competency and certifications with computed expiries, scan certificates to prefill records, define role training matrices, and deliver courses with lessons and quizzes.
Training covers two things: competency records (who's trained on what, and when it expires) and a content-delivery LMS (author courses with lessons and a quiz, assign them, and record completions automatically). Worker licences and certifications are a separate register — see worker credentials.
Record a completion
- Add courses to the catalog first (Courses button): title, category, and how many months a completion stays valid (0 = no expiry). Courses carry a regulatory standard, including MSHA Part 46 (surface/aggregate) vs. Part 48 (underground & metal/nonmetal). The catalog can also be bulk-loaded from a spreadsheet via import.
- On Training & competency, 📷 scan the paper training certificate (photo or PDF): the AI prefills the trainee, completion date and trainer, and lower-confidence fields are flagged for a double-check. The course itself is always a manual pick from the catalog.
- Fill in the rest of Record a completion — site, course, trainee (from your roster), trainer, evidence — and click Record completion. The expiry is computed from the course's validity.
- A record with a stored certificate shows a 📄 link in the Cert column — click it to view the original document.
Deliver a course (LMS)
- Go to Course authoring, pick a course, and add lessons and an optional quiz (questions with a passing score). Save course content — the course is now deliverable.
- Assign the course to workers.
- Workers open My training, read the lessons, and take the quiz. Passing (or acknowledging a quiz-less course) records the completion automatically — it flows straight into competency, expiry, and the role matrix. A failed quiz can be retaken.
Role matrix and gaps
Define a role training matrix — the courses each role requires — then view each worker's status per course: valid / expiring / expired / missing.
What happens automatically
- A record within 30 days of expiry flags expiring soon (amber); past expiry it flags expired (red). Both are picked up by the escalation sweep, which notifies the certificate holder.
- Training expiry dates also appear on the compliance calendar and its .ics feed.
- An expired or expiring record shows a Raise CAPA button — one click opens a retraining corrective action, and the row links to it.
