Permits to work

The Permits module authorizes higher-risk work (hot work, confined space, working at height, electrical, excavation, line breaking) through a controlled lifecycle. A permit can't be approved until its required precautions are confirmed, and each permit carries a human-readable number like PTW-0001.

Request a permit

1. Go to Permits and use the Request a permit form at the bottom of the page.
2. Choose the site, permit type, and describe the work and its location. The location matters — it drives the conflict check at approval.
3. Assign a contractor if the work isn't in-house, and record who requested it (pick from your roster or type a name).
4. For Electrical and Line-breaking work, link the LOTO procedure that isolates the equipment.
5. Set the valid-from and valid-to dates and submit.

Approve and activate — with the safety checks

1. Open the permit. While it's Requested, tick each precaution that's been confirmed — required ones are marked with an asterisk. Approve unlocks only when all required precautions are done.
2. Conflict check (SIMOPS): if another live permit overlaps this one's location and dates, a panel lists the conflicts. Dangerous pairs — e.g. hot work over a confined-space entry — require an explicit acknowledgment that's recorded on the audit trail.
3. Credential gate: if your permit-type policy requires credentials (configure it under Credential requirements on the Permits page), the requester's worker credentials are checked. A lapsed or missing credential blocks approval; an approver can override with a reason, and the override is audited. In-grace credentials warn but pass.
4. Once approved, Activate to authorize the work. Contractor permits also require the contractor to hold site-access clearance.

Extensions, handback and expiry

• Extend a live permit forward with a reason (recorded); Close it at handback.
• A permit whose window passes flips to Expired automatically (a sweep runs through the day) — expired work is no longer authorized, and the requester is notified with a 3-day warning before the window closes.
• Re-check contractor clearance suspends any active permit whose contractor lost clearance; suspended permits can be resumed once it's restored.

See it all at once

• The permit board is a live wall view of active, issued, and needs-attention permits per site — with a no-login kiosk link for the control room.
• Live permit windows also appear on the compliance calendar.

Tip: filter by Site and status (overdue / suspended) at the top of the list, and raise a CAPA from an overdue permit to track the follow-up.
